Citation Management Tools could assist you in collecting, organising, and managing the citations of different types of sources (e.g.: books, journal articles, websites) effectively. For more concepts about Referencing & Citation, you may visit our webpage.
The Library has subscribed to EndNote and RefWorks for all current Lingnan University staff and students. Eligible users may use the citation management tools to import references from Library 1-Search platform, online databases or webpages and so on, in different citation styles, and generate in-text citations and reference list entries for academic work.

RefWorks will no longer be available from 1 November 2026. Please ensure that your references and attachments are exported from RefWorks by 1 November 2026 to prevent data loss. References can be imported to EndNote (suggested), or other citation management tools. Detailed steps can be found HERE. |
Current Lingnan staff and students may download EndNote 2025 below and install the software on your own PC/Mac. After downloading the file, you are reminded to extract/unzip the folders before proceeding with the installation.

- The software is licensed for the personal use of current Lingnan University staff and students.
- Eligible users may install the software on their personal or office computer(s) for their personal use only.
- Excessive downloading of this licensed software is prohibited.
- Upon termination of employment/enrolment at Lingnan University, the right to use EndNote under this site license is terminated immediately. The software must be uninstalled from your personal computer(s) and all copies destroyed.

Installation Steps
- Extract the downloaded zip folder "endnote_win_2025.zip" on your computer
(applicable to Windows devices only)

- Open the "2_install.bat" and run the file
- From the "EndNote 2025 Setup" window, follow the instructions to finish the installation
After installing EndNote 2025, you may start using it on your device. Watch the following 3-minute videos to learn the basics on how to create a new library, import and manage references and cite in Microsoft Word:
Some EndNote functions will require an EndNote account (e.g.: Using EndNote Click, Using EndNote Web/Online to manage references online). You may register your EndNote account by following the steps below:
- EndNote Web/Online Account Registration
- From webpage: https://access.clarivate.com/login?app=endnote
- From EndNote 2025: Click the tab "Library" – "Sync" then follow the on-screen instructions to register


- EndNote Click Account Registration
You will need to create an EndNote Library to get started. With an EndNote Library, you may add and manage references to it.
- From EndNote 2025, click "File" on the top menu bar and choose "New"

- Select the location you would like to save your EndNote Library and click "Save"


You may add references to your EndNote Library with different methods. EndNote supports importing references from a wide range of formats and sources. Here are several popular methods to import your references.
- Click the icon of "Citation"
under a resource on 1-Search - Choose "ENDNOTE DESKTOP"

- Choose "UTF-8" (recommended) in the Encoding option and click "DOWNLOAD" to save the file
- Double-click the downloaded file on your device and it will import to EndNote 2025 automatically
- If your downloaded citations do not automatically import into EndNote 2025, please right-click the downloaded file and click "Properties". Change "Open with" to EndNote 2025. Then, please try again

If the references cannot be imported automatically, open EndNote 2025: click “File” – “Import”– “File” and choose the proper format as “Import Option” (usually RIS or "EndNote Import").

- The steps for importing references from different databases into EndNote 2025 are similar
From a result page, click the option "Citation"/"Cite" and then choose EndNote
e.g. Web of Science

e.g. CNKI

- If there is no EndNote choice(s) listed, choose RIS and save the file
- Double-click the downloaded file and the reference(s) should be automatically imported to EndNote 2025
- If the references cannot be imported automatically, open EndNote 2025: click “File” – “Import”– “File” and choose the proper format as “Import Option” (usually RIS or "EndNote Import")

- From EndNote 2025, click “File” – “Import”– “File”
- Choose a PDF file you would like to import
- Choose "PDF" as "Import Option" and click "Import"
- The reference will be added and the information will be automatically filled out based on the extracted DOI in the PDF (e.g.: author, title, publishing year)

- Check the fields and update to complete the record

For websites, manuscripts, videos, government documents and archives, you may not find an automatic method to import them directly. You can add them manually to EndNote 2025.
- From EndNote 2025, click "References" on the top of the menu
- Choose “New Reference”
- Select the proper "Reference Type" first, input the fields manually, and save the record

When you access a MS Word file that used EndNote 2025's "Cite While You Write (CWYW)" to cite source(s) - including Field Codes (not a plain text file), you can click "Export Traveling Library" to import references to your EndNote library.
- Open the MS Word File and EndNote 2025
- From MS Word, click the tab "EndNote 2025" – “Export to EndNote”– “Export Traveling Library"

- Customise the export location as you prefer and click "OK", then the references will be added to your selected EndNote 2025 library

You can create a group, then drag and drop references into a group to better manage your references.
E.g.: Create a group for a course assignment to include the relevant references for this assignment
- From EndNote 2025, right-click "My Groups" and choose "Create Group"

- Double-click to rename the group as you prefer
- In each single library, you can create up to 5,000 groups and 5,000 group sets (a set of Groups)
You can create a smart group to group references of a specific type (e.g.: same author, including same keywords in titles, published in 2022). You may define the criteria when creating or editing a smart group, then the existing or added later references will be grouped in the relevant smart group automatically.
- From EndNote 2025, right-click "My Groups" and choose "Create Smart Group"

- Name your smart group and customise your criteria with filters: e.g.: author, keywords, year, title, publisher, pages, edition, ISBN

- In each single library, you can create up to 5,000 groups and 5,000 group sets (a set of Groups).
Share Group is a function that allows you to share a group of reference(s) under your EndNote 2025 library to other EndNote Online users (e.g.: your instructor, your classmates). You need to first register an EndNote Online account and sync with EndNote 2025 on your device to use this function:
- Register from webpage: https://access.clarivate.com/login?app=endnote
- Register from EndNote 2025: Click the tab "Library" – "Sync" then follow the on-screen instructions to register

After registering an EndNote Online account and syncing with your EndNote 2025, you may start sharing a group:
- From EndNote 2025, right-click the group you would like to share and choose "Share Group"

- From the pop-up window, input email address, set the permission, add a message (if needed), and click "Invite"
Your invitee will receive an email from EndNote with a link to access your shared group. If your invitee does not have an EndNote Online account, they will be asked to register first. More information can be found at Shared Library vs Shared Group.
Note: The references in a smart group are dynamic. Currently, a smart group cannot be shared. To share content from a smart group, you may copy the references into a group.
You can use Tags to label your references for managing them. To label the references with a tag, you need to create the tags first.
- From EndNote 2025, click “+” next to “My Tags”
- Name a new tag and select a colour

From MS Word, after you installed EndNote 2025 on your device, you will find a new tab "EndNote 2025". If you cannot find the Add-in, please refer to "FAQs tab". With this new tab, you may insert in-text citations and create a bibliography while you are writing. Before citing, you can first set the citation style and format in MS Word:
- Click the tab "EndNote 2025" to set the citation styles at "Style". E.g.: APA, MLA

- Click the icon below "Instant Formatting is On" for customising the title of the Bibliography. E.g.: change to "References" for APA citation style
Note: Make sure the Instant Formatting is On to get the Bibliography list generated automatically.


After finishing the settings, you can start citing in your MS Word file:
- Place your cursor to where you need to add in-text citation
- Click "Insert Citation" to cite a source

- From the pop-up panel, you can search and select the reference(s) you would like to cite. Then, click "Insert". Or, you may click the arrow next to "Insert" to further customise your preferred format
You will see the in-text citation and a bibliography generated automatically in your work.

Reminder: After you finish your work, you should save a plain-text version for submission.
- Save your original document
- Then, save a separate copy (Plain Text version) from MS Word: clicking the tab "EndNote 2025" – "Convert Citations and Bibliography" – "Convert to Plain Text"
In the plain text file, EndNote linking and field codes will be removed. If you did not save the plain text version for sharing, people without EndNote installed will not be able to view the content properly.
EndNote supports citing in other applications (e.g.: WPS, Pages and Google Docs), and you can find more details at HERE.
- From MS PPT, click the tab “EndNote 2025” for more options
- Choose “Insert Citation” / “Insert Reference” to add in-text citation(s) or a bibliography to the slides
Note: Customise the settings before you cite (e.g.: Citation Style)

EndNote Web/Online and EndNote Click are helpful assistants of EndNote 2025.
- EndNote Click is a free browser plugin that finds the best available PDF of an academic article while you browse. For more information, please visit HERE
- EndNote Online is a web-based service that anyone could use for free. Under Library’s subscription, current staff and students may link EndNote Online with EndNote Desktop (e.g.: EndNote 21 / 2025). More information can be found HERE
- EndNote Web is a web-based service exclusively available for EndNote Desktop users. Eligible Lingnan staff and students may synchronise your EndNote Desktop (e.g.: EndNote 21 / 2025) with an EndNote Web account to manage the references online. More information can be found HERE
Please try the following steps (for Windows users only):
- From MS Word, click "File" – "Options" (at the bottom left)
- Click "Add-ins"
- Find "Manage" at the bottom of the settings and choose "Disabled Items" to see if "EndNote Cite While You Write" is on the list or not. If yes, select it and Enable it.
- Select "COM Add-ins" and click "Go". Please tick "EndNote Cite While You Write" and click "OK".

- Any subscription-based benefits provided under the Library’s subscription, such as cloud storage or premium support, will no longer be available. Your EndNote Online version will become the basic version (References can be stored under 50,000 and with less than 2GB of file attachments). More information can be found here.
- You are suggested to change your registered EndNote Online email from your LU email address to your personal email address. For guidance, please refer to this Knowledge Base article.
